PrintPilot — Virtual Printer to Email for Windows
Every Print becomes a PDF in your team's inbox.
PrintPilot installs as a virtual printer. When you press Print in any application, it silently captures the output as a PDF and emails it to the recipients you configured — receipts to accounting, shipping labels to fulfillment, invoices to your client.
What is PrintPilot?
PrintPilot is a desktop application for Windows that installs as a virtual printer. When you press Print in any application — your browser, accounting software, POS, or ERP — PrintPilot captures the output as a PDF and automatically emails it to a preconfigured list of recipients. It's built for businesses, teams, and individuals who want to route receipts, invoices, and shipping labels to the right inbox without manual steps.

Zero-click delivery
Press Print in Chrome, Excel, your POS, or your ERP. PrintPilot takes it from there.
Rule-based routing
Send invoices to accounting, shipping labels to the warehouse — based on document title, source app, or content match.
Local-first
PDFs are generated on your machine. Nothing hits our servers unless you send it to yours.
Works everywhere Print works
If an application can print, PrintPilot can capture it. Windows 10/11 supported today.
How it works
- 1
Install PrintPilot and add the recipient email list.
- 2
Set optional rules — for example, send anything titled 'Invoice' to billing@yourcompany.com.
- 3
Print from any application. The PDF is captured and emailed automatically.

FAQ
Which operating systems are supported?
Windows 10/11 is currently supported. macOS and Linux versions are planned.
Do PDFs pass through your servers?
No. Everything runs on your machine. Emails are sent via your own SMTP account or a supported provider.
Can I send to multiple recipients?
Yes — as many as you like, and you can route different documents to different lists using rules.
Google OAuth & Gmail Integration
PrintPilot uses Google OAuth 2.0 (gmail.send) to send PDFs on your behalf safely. We never access, read, or store your inbox, drafts, or email contents on our servers.
Security
Security by design
OAuth 2.0 authentication
You authorize PrintPilot on Google's own consent screen. Passwords never touch our software or servers.
Encrypted local token storage
Google access and refresh tokens are stored in your operating system's secure credential store (Windows Credential Manager). Tokens never leave your machine.
No cloud storage of emails
PDFs are generated on your computer and delivered by Google. Our servers never receive, store, or proxy the messages you send.
No inbox or contact access
The only Gmail permission we ever request is gmail.send. We cannot read, list, modify, or delete anything in your account.
User-controlled permissions
Revoke PrintPilot's access at any time from your Google account or from inside the PrintPilot app. Tokens are invalidated instantly.
Minimal server-side data
We store your account email, plan, license key, monthly usage counter and a hashed device ID — never document contents.
